LVG - New constitution as agreed at AGM 2004

1. Title. The name of the group shall be the London Vampyre Group, referred to below as "the organisation".

2. Membership. Formal membership can be granted to anyone over 18 who is accepted into the organisation and pays the membership fee which is due every twelve months. Each member has one vote. A membership can be terminated by the Committee with good reason, but this is subject to an appeal. An individual expelled in this way can expect a pro rata refund of subscription

3. Objectives. The organisation will strive to attract individuals who are interested in film, theatre, music, craft, paraphernalia, which is of the Vampire, Gothic or Horror genre. It will also strive to publicise as widely as possible any events which fall into such categories and may interest its supporters. Its aims are to provide a recreational and educational forum for those who are interested in the above.

4. Data. The organisation will keep a list of names addresses and contact details of all its members and supporters unless they choose otherwise. Such information is protected under the Data Protection Act.

5. Meetings. The organisation will undertake to organise three policy making committee meetings, open to all, at the end of December, March, and June, with an Annual General Meeting of members in September, the purpose of each being to determine the direction of the group for the following period. All decisions at these meetings will be by majority vote of members. The quorum for these meetings will be four committee members. Each meeting will be conducted by a chairperson elected from the meeting and a minute taker (again elected) will keep a record of proceedings and circulate a summary to the membership.

6. Bulletin. The London Vampyre Bulletin will be the newsletter of the organisation and it will be published every three months. It is intended to be a summary of all activities and events of interest to people who are enthusiasts for Vampyres/Gothic/Horror.

7. Magazine. The Chronicles will be the official publication of the organisation and is open for contribution by all subscribers, on topics which interest them individually and which reflect the activities of the organisation. This will be published every three months, and will be available as part of the membership fee. The Bulletin will be included as an insert.

8. Administration. The management of the organisation is to be carried out by an executive, known as "the committee", which is elected each year at the AGM. A member can stand for committee with two other members nominating. Election to post will be by majority vote of members. Persons on the committee will hold their posts for twelve months until the end of the following AGM when they retire, but can be considered for re-election or reappointment to any post at the same AGM.

9. Structure. The Committee posts are: secretary, membership secretary/merchandise, organisation treasurer (LVG), events co-ordinator/PR, Bulletin editor, Chronicles editor, VE treasurer/Chronicles assistant.

10. Expenditure, Accounts and Banking arrangements. It is not intended to run the organisation as a profit making body but rather to handle in an objective and accountable way the funds to be used for running and participating in events. The Group will operate three bank accounts, "the organisation (currently LVG)", to manage its funds, "Vampire Enterprises", to manage funds for the magazine, and "Vampyre Travel" to manage funds for large expenditure trips. Each cheque from any account will require TWO signatures from a list of several members. A statement of balances for each account will be available at every committee meeting and an annual report for each account will be compiled by those acting as treasurers.

11. Dissolution. If the committee decides to dissolve the organisation it will call a meeting with 28 days notice and put forward the required resolution. To make this change will require a two thirds majority of the meeting voting in favour of closure. If dissolution is decided upon, the committee will undertake to distribute the organisation's assets equally to the contributing membership.

12. Internet. The organisation will maintain its own website at www.revamped.co.uk and also support its own egroup, VEIN-europe. -This is a facility which exists on the Internet which provides the Group with homepage and e-mail information and is valuable for advertising. This is run in co-operation with other groups and should be self supporting financially. We formally support this venture and encourage its expansion.

13. Inspiration. The organisation upholds the principles of "Liberty, Equality and Fraternity".
